The Dean of the Faculty of Social and Economic Studies of Jan Evangelista Purkyně University in Ústí nad Labem (the contracting authority) announces a selection procedure for the position of
Assistant to the Dean of FSE
Number of vacancies/Position/Field of activity:
1 position – Assistant to the Dean – Administrative Employee of the FSE Dean’s Office
Job description / Responsibilities:
- Working with documents in text and spreadsheet editors, especially MS Word and MS Excel: creating, printing, copying, scanning, storing, etc.
- Managing physical and electronic mail.
- Managing the Dean’s calendar – planning and organizing meetings and appointments, coordinating business travel.
- Ensuring the purchase of refreshments for the Dean’s unit, ensuring material supplies for the Dean’s office.
- Independently carrying out partial work tasks according to the Dean’s instructions.
- Organizing Dean’s Board meetings – preparing and filing minutes, preparing and organizing off-site meetings.
- Accounting for operating costs of the Dean’s unit paid from the representation fund.
- Processing absences in the IMIS system and filing timesheets of the FSE Dean’s Office employees.
- Handling HR-related tasks concerning academic staff of FSE UJEP as instructed by the Dean.
- Managing current tasks arising from the functioning of the Dean’s unit.
- Handling orders in the internal system.
- Maintaining records of internal regulations and standards, including amendments in their original electronic form. Filing and archiving minutes from the FSE Academic Senate.
Qualification requirements:
- Minimum education: Bachelor’s degree.
- Advanced knowledge and practical experience with the MS Office suite, especially Word and Excel.
- Familiarity with internal university information systems (after training).
- Excellent organizational skills, knowledge of administrative and office procedures, and the ability to run the secretariat independently.
- Knowledge of the university environment is an advantage.
- Good communication skills, knowledge of foreign languages is an advantage.
- Proactive approach, independence, diligence, precision, discretion.
Workload: 100% of full-time working hours
Employment type: Fixed-term employment for the duration of maternity and parental leave
Expected start date: January 2026 (or by agreement)

Information about the selection procedure and selection criteria:
The selection procedure will take place in the first round by assessing submitted materials, which must be part of the application, and, if necessary, in the second round in the form of a personal interview with selected candidates. All applicants will be informed of the results within 30 days after the completion of the selection procedure.

The contracting authority reserves the right not to select any of the applicants and not to fill the position, and to cancel the selection procedure without compensation.
